*Start time is the time and total hours your booking would require for pre and post event. This should include, setup, special AV requirements, duration of event from start of setup to take- down. This should also include required time for rehearsal's as the Theatre is rented based on the number of hours booked only. Entering the Theatre prior to the booking time is not permitted.

*End time refers to the time after your event has concluded and all attendees have vacated the building. This includes take-down time. If your event exceeds the timeframe for which it was booked, a charge of $50 per each additional 10 minutes will be added to your bill. All events must conclude by no later than 10 pm. Theatre lights shut off at 10 pm – no exceptions.

Please note: The Banquet Room is setup with tables, chairs, and cocktail tables for your use and included in the rental fee. Maximum chair seating available is 40 and available cocktail tables is 8. Black table cloths are provided.

Cardel Theatre Rental Agreement

Please initial the box beside each section of the rental agreement to indicate that you agree with the terms outlined.

Cardel Homes (hereafter referred to as Cardel Theatre), and the undersigned person and/or group (hereafter referred to as The Renter) hereby agree to the following terms for the rental of the Cardel Theatre (inclusive of the banquet area) located at 180 Quarry Park Boulevard SE, Calgary, Alberta.

1. Cardel Theatre agrees to provide its theatre (including seats, lights and sound system, backstage area, dressing rooms, and stage), banquet area, washrooms, and parking lot for the duration of this rental for the exact dates and times as specified on this booking form. The lobby is to be used for entrance and exit to the banquet area or washrooms only. Guests are asked not to gather in the lobby, but rather to move into the banquet area or washrooms. *

2. The Renter agrees to pay Cardel Theatre the following: $160.00 per hour rental fee plus GST for public use, $140.00 per hour rental fee. No GST for non-for-profit use. Cleaning fee of $80+GST without food/beverages or $160 +GST with food/beverages * Note: To qualify for the non-for-profit rate and exempt for GST, you must provide a charity registration number. Deposit and final payment will be processed one week prior to your event. *

3. The Renter is required to provide a refundable deposit of $500 to book the Cardel Theatre. This fee will secure your requested date and cover the cost of any excess cleaning, damage or repairs due to misuse of the Theatre. In the event the Cardel Theatre is damaged beyond the value of $500, The Renter will be held accountable for any additional cost. * Please note: The booking is not confirmed until the deposit has been received and the rental agreement has been signed and returned to Cardel Theatre. *

4. Cardel Theatre reserves the exclusive right to rent and provide the Cardel Theatre and corresponding spaces, based on its sole discretion, and in the best interest of the Cardel Theatre, as well as cancel events when required, on short notice. *

5. The Renter is responsible for staffing the front of house, box office, security, parking attendants, light and sound operators, set, costumes, equity waivers and rights to the material being presented, as applicable or required. *

6. The Renter acknowledges the need to present Cardel Theatre with a certificate of insurance showing liability insurance for no less than $2M per occurrence. The Renter is also asked to add Cardel Homes as an additional insured party on their liability insurance policy. Cardel Theatre takes no responsibility for any damage that may occur to The Renter’s property or for any bodily injury which may occur to The Renter or The Renter’s attendees during the event. *

7: The Renter understands that cancellations must be received in writing via email and sent to theatreinfo@cardelhomes.com (8) days prior to the rental date to be entitled to a full refund of the $500.00 deposits. Cancellations with less than 8 days will be charged a cancellation fee of one day for each event booked that is cancelled. The remainder of the fees will be refunded, and the pre-authorized deposit will be released if the event is canceled. *

8. The Renter understands that the Cardel Theatre is a non-smoking/vaping, unlicensed (alcohol-free) facility, including the parking lot. No exceptions. *

9. The Renter understands a cleaning fee of $80 +GST without food/beverages or $160 +GST with food/beverages, will be applied to the rental fee. This does not release The Renter from the responsibility of keeping the Cardel Theatre (including banquet area, lobby, washrooms, and parking lot) clean, free of hazards and debris, and accessible to those with disabilities during and after the event. *

10. The Renter understands that due to health and safety regulations, all food served or consumed in the rental space must be provided by a restaurant, commercial business or professional catering company with a current business license or permit. Food and beverages are not permitted in the Cardel Theatre space, excluding bottled water. The Renter will provide volunteers to enforce this restriction. *

11. The Renter will have use of the spaces during the dates and times specified on this booking form. *

12. The Renter understands that at no time shall the 150-person occupancy limit, as designated by the fire code of the City of Calgary, be exceeded. The Renter is responsible for all fines imposed for any reason by the Fire Marshall for exceeding this limit during an event. At no time may a fire exit or exit route be blocked with any equipment or materials. *

13. The Renter has permission to load in and load out equipment and materials within the approved dates and times booked. At no time will loading be permitted outside of the Cardel Theatre’s operating hours. The Renter agrees to remove and properly dispose of all equipment and materials brought into the Cardel Theatre at the completion of a booked event unless the Cardel Theatre staff has granted specific permission to leave certain equipment and materials behind. *

14. The Renter is responsible for advertising and publicizing the event and any/all ticket sales. The Renter may, with prior authorization by Cardel Theatre staff, place promotional, sales, self-branding, and informational materials within the Cardel Theatre space (including the lobby, parking lot, and building sidewalk) during The Renter’s rental dates and times. The Renter is prohibited from taking any action that may injure, mar, deface or permanently alter Cardel Theatre property (including the use of nails, tacks, or screws). *

15. The Renter acknowledges the mandatory requirement to meet on-site with a Cardel Theatre staff member prior to booking the event to review the space, all equipment and materials, and technical components required and receive approval. Outside laptops are not permitted, without prior approval. A Cardel Theatre laptop will be provided, and The Renter must provide their own flash drive, CD or DVD with their presentation. Any audiovisual equipment required in addition to what is provided by the Cardel Theatre must be pre-approved by Cardel Theatre staff to ensure system compatibility and then rented at The Renter’s expense. *

16. The Renter acknowledges the requirement to complete and sign a pre-event and post-event inspection checklist with Cardel Theatre staff. The Renter is responsible for any damage to the facility or equipment during the event. *

17. The Renter acknowledges that to ensure safe emergency exit routes during events and maintain unobstructed sight lines, audio or video recording from theatre aisles or aisle seats will not be permitted. If audio or video recordings are desired, this should be discussed with Cardel Theatre staff during the technical requirements meeting prior to the event (#15 above), and an appropriate recording position will be determined. *

18. The Renter understands that no animals are allowed on-site, with the exception of trained guide or qualified service dogs. *

19. The Renter agrees to participate in the safety orientation conducted by Cardel Theatre staff prior to the event, including a hazard assessment and a review of emergency evacuation procedures and the locations of first aid equipment, including the automated external defibrillator. * It is the responsibility of the Host or Event Coordinator to share housekeeping rules that include safety procedures with their guests at the beginning of the event. *

20. The Cardel Theatre, based on its sole discretion, with or without cause, may require The Renter to provide security personnel and enhanced security measures for an event, to ensure the safety of Cardel Theatre attendees and property before, during and after an event. The cost and liability of security measures shall be the sole responsibility of The Renter. Cardel Theatre shall approve all security providers and measures 30 days prior to the event. *

21. The Cardel Theatre reserves the right to eject or cause to be ejected from the premises any person or persons demonstrating objectionable behaviour, posing a safety risk to themselves or others, or posing a risk to property. Neither the Cardel Theatre nor any of its officers, agents or employees shall be liable to The Renter for any damages that may be sustained by The Renter through the exercise of such a right. *
